This is the question that runs through the minds of many of our couples. It’s often a challenge when you are planning your wedding, how to allocate money to each vendor, and where it is best spent. And while we love the challenge that all new events bring, if we know that your event dollars are wasted on services (including our own), we’ll be the first to say so. But if any of these scenarios resonate with you, perhaps it’s time to call us.
If you’re hosting an outdoor wedding, peace of mind is always assured by hiring one of our coordinators to be there, and supervise the set up of your event. We will instruct your vendors the exact location of the place where you’d like to get married. We’ll make sure your musicians and celebrant have arrived, and anyone you have booked for your decor (be they a florist or decorative supplier). We’ll also take any of your own personal items and put them in place for you. Just in case you were wondering, we can also oversee pack up – and pick up any of your own items or personal effects left behind.
You Have Booked Transport For Your Guests
If you have booked any kind of transport for your guests (this may be by coach or by water), we can be there on the day to help make sure the whole day runs as smoothly as possible. The drivers will have our phone number to the lead up to the event, and it’s nice to know that if a guest goes missing or a driver gets lost – then they have someone to call on the day of the event. And it wont be the bride.
You Are So Busy With Work/A Life/The In-laws to Confirm Your Wedding Suppliers
Life gets busy we know. Event planning and coordinating is a full time job for us here. We understand that it’s really hard to stay focused on the details of your event when you have dozens of people pulling you in different directions. Getting the smallest detail wrong when you are confirming your wedding suppliers, can lead to the biggest nightmares. Outsourcing this job to wedding professionals like us is the best peace of mind. Having an experienced eye cross checking every booking you’ve made is priceless. Our wedding coordinators can also make suggestions about bookings you may not have yet considered, or altering existing bookings for a better experience.
If you’ve planned any hand made details, purchased anything on etsy, ebay, or anything else for that matter, it can put so much pressure relying on family and friends to set it up for you. After all, they want to enjoy the day just as much as you do, and why shouldn’t they. We’d never recommend it. If something happens on the day of the wedding, it’s really hard to make peace with a family member or friend if they let you down, and often not worth the heartache that it sometimes causes.
You Have Invested A LOT Financially Into The Wedding
The cost of a wedding coordinator is often negligible in comparison to the thousands that many will spend on food and beverage and the photographer/florist alone. It is such a shame when couples spend so much on their wedding day, and have no one to act on their behalf making sure that all the money they have invested is really a reflection of everything they wanted the day to be and exactly your intended brief.
You Have Hired Too Many Wedding Suppliers To Keep Track Of
Planning a unique wedding, and the temptation of wanting to bring everything to life that you’ve seen on a recent blog is all too real. Juggling multiple suppliers and understanding the dependencies of each one, as well as their own timings is an art form. Outsourcing this to a professional who can pull it all together is always a sensible idea and worth its weight in gold.
You Are Hosting A Wedding At Home
At home weddings are never easy for many reasons. Having a bunch of wedding suppliers traipse through your home can be a bit unnerving as usually on the day of the wedding you can’t always be around to see what’s going on. Weddings at home always benefit from one of our more substantial coordination packages involving site visits to your place in the lead up so we have a good grasp on the property and have a seemless take over on event day. It’s always a better experience if questions from suppliers are fired across to us, so that you yourself are not working on the day of the event.
You Are Hosting A Marquee Wedding
Marquee weddings held either at home or in a hired space can become the biggest headaches if you don’t have someone running the show from you. If the generator fails or the toilet cubicles you’ve hired are dirty during the event, believe me you need someone behind the scenes troubleshooting and preparing in advance for the likeliest problems. These types of events do benefit from our more substantial coordination packages but we always take the details of your enquiry down in advance and suggest the best options for your event.
Your Are Having A Reception In An Empty Space/Unique Venue
Blank canvas spaces make the best events. You can really make it your own if you’re starting from just a shell. But having someone there at the start of the day making sure all your deliveries arrive, your lighting is set up, your catering team and kitchen equipment is there at the start of the day is sensible. Having the contact name and number of your wedding coordinator to give out to your suppliers is priceless. You sure don’t want them to be calling you on the day if any problems arise or deliveries are late.
